Installing and Using the CopyReport CD-Rom

The terms of the above licences require licence holders to submit an annual report to CCLI detailing what has been reproduced under each licence.  CopyReport enables you to report electronically for each one.

 

The Importance Of Reporting
The information collected from CopyReport is used to calculate the royalties due to song writers and publishers and is therefore of vital importance.  Without this information CCLI would not be able to pay accurate royalties to copyright owners.  Please ensure you submit a report annually.

1. Installing CopyReport4 - Windows/PC

    1.1 Insert the enclosed CD-Rom into your CD drive and follow the on-screen instructions.   In most cases the set-up routine will start automatically.   If set-up does not start automatically, click on Start (bottom left-hand corner of your screen) then click on the option ‘Run’ and type D:SETUP.EXE in the text box provided.  If your CD drive is not configured as drive D, substitute with the appropriate letter.

    1.2 Select the language you wish to use from the list, click ‘OK’ and then click ‘Next’.

    1.3 Read the licensing agreements and if you agree, select ‘I accept the terms of this licence agreement’ and click ‘Next’, else click ‘Quit’ to cancel the installation.

    1.4 You will now be asked for a location to install CopyReport. If you are happy with the default location, click ‘Next’, else select another location by clicking ‘Browse’.  If you are warned that ‘The target directory will be created’, click ‘OK’.

    1.5 The installer will now ask for a location to store your settings and reports. If you are happy with the default location, click ‘Next’, else select another location by clicking ‘Browse’.  If you are warned that ‘The target directory will be created’, click ‘OK’.

    1.6 The program installation will now take place. When the upper progress bar indicates ‘Finished’, click ‘Next’.

    1.7 The installation of your user settings will now take place.
    NB: If you already have an older version of CopyReport installed, you will be asked if you wish to migrate your old data to the new installation.  Click ‘Yes’ to retain your data. When prompted, click ‘Next’.

    1.8 Next you will be asked where to put shortcuts (the icon you click on to open CopyReport).  We recommend you leave the setting of ‘all users’ on the right hand side and tick both options at the top (Start menu and Desk-top). In some cases, if Start menu is not ticked, no shortcuts will be created.

    1.9 When you see ‘Installation Finished’ click ‘Done’ to exit the installer.

    1.10 Open CopyReport by double clicking the CopyReport icon on your desktop.

    Note: The reporting tab for the CCL/CWCL will only activate after you have entered the respective licence numbers. If you purchase an additional licence mid-way through your existing licence period simply add the new licence number on My Details to activate the tab.

     


1. Installing CopyReport4 - MAC

    1.1 Open the file ‘CopyReport-install-mac’ (This will be on your installation CD, or if you downloaded the file from our website, the location you chose during the download).  

    1.2 Select the language you wish to use from the list, click ‘OK’ and then click ‘Next’.

    1.3 Read the licensing agreements and if you agree, select ‘I accept the terms of this licence agreement’ and click ‘Next’, else click ‘Quit’ to cancel the installation.

    1.4 You will now be asked for a location to install CopyReport. If you are happy with the default location, click ‘Next’, else select another location by clicking ‘Browse’.  If you are warned that ‘The target directory will be created’, click ‘OK’.

    1.8 Open CopyReport by navigating to the ‘Applications’ folder and double clicking ‘CopyReport4’.

    Note: The reporting tab for the CCL/CWCL will only activate after you have entered the respective licence numbers. If you purchase an additional licence mid-way through your existing licence period simply add the new licence number on My Details to activate the tab.


2. Activating CopyReport4

    2.1 When you first open CopyReport you will be asked to provide name and address details of the person compiling the report. This will only be used if we need to contact you about your CopyReport.

    2.2 In the lower part of the screen you will be asked to indicate the country/location of the licensed church/school (Ireland or UK) and your customer type (church or school). Your selection here is important since it will determine how CopyReport is configured.

    2.3 The lower part of the screen then displays three sections, tabbed for easy access. The first of these is labelled Address; enter the name and address of the licensed church and your Customer Reference Number.

    2.4 The second is labelled Licences; enter the expiry date for your licence(s), plus the licence number of each one held. When you have entered a licence number, click in the next field and a new button will be added to the Menu Toolbar at the top of the screen.

    This page also includes an option to add additional organisations. This has been designed for church customers when one church office or minister is responsible for reporting for more than one church/organisation. It is unlikely to be required by schools.

    2.5 The third page is labelled Title Languages and enables alternative-language songs to be displayed in CopyReport. Only English is currently available in Ireland.

    2.6 When you select an alternative option from the Menu Toolbar, a message will be displayed to confirm that the details you have entered have been saved.

    NB: It is very important that you enter the correct Customer Reference and Licence numbers in CopyReport since CCLI will use these to match your report with your record on our customer database.

    CopyReport includes a Help option which can be opened by clicking on the word Help at the top right-hand side of the screen.


3. Sending Your Report to CCLI

    You should send your CopyReport to CCLI at the end of your licence period, ideally at the same time as you renew your licence(s).

    3.1 Click on the Send Reports button in the Menu Toolbar.  You have three options on this page:

    • Print a copy of the report for your own records.  This should not be sent to CCLI.
    • Save a back-up copy of the report on your computer.
    • Submit your report to CCLI.  This automatically sends a copy of your report to CCLI over the internet, provided you are online.  A confirmation message will be displayed once delivery is complete.  If you are not online, you can save a copy of the file locally and send it via email.

    3.2 The Submit process also resets CopyReport ready for you to report songs reproduced during the subsequent reporting period. However, after the reset process, you can easily find the songs from the previous licence period by selecting Previous Period under the CCL and MRL menu options.
